Overview


Microsoft Bookings is an online scheduling tool. Its easy-to-use website allows students or staff to view calendars and schedule appointments with a faculty member, staff member, department, or organization. Bookings give a fast, easy alternative to time-consuming, frustrating phone scheduling or lengthy e-mail exchanges. A customizable web page lets students or staff find available times and book appointments 24/7.


How to Access Bookings

  1. Bookings can be accessed by going to Signon http://signon.stjohns.edu.

  2. Once you’ve successfully logged in, click on the Office 365 Office Portal icon.

  3. Click on the “waffle” icon in the upper left-hand corner of your browser window.

  4. Select Bookings

  5. Then select Get It Now.

Instructions to setup a Bookings page

For faculty and staff

  1.  Enter your information

  2. Set your scheduling policies

  3.  Define your types of appointments (service offerings)

  4. Create your staff list

  5. Set employee working hours

  6. Schedule business closures, time off, and vacation time

  7. Publish or unpublish your booking page

  8. Create and staff your bookings

IT Best Practices when setting up a Bookings page

  1. Require an MS 365 account to book should always be checked.

    1. To ensure only @my.stjohns.edu or @stjohns.edu e-mail addresses are used to book appointments.

    2. For data quality purposes, you will have an easier time matching a student or staff member to a St. John's e-mail address than a Gmail or other e-mail provider.

  2. Disabling direct search engine indexing of booking pages should always be checked.

  3. Use a departmental account and have multiple admins for backup purposes.
