Sharing a file or folder via OneDrive on-the-web

Access your OneDrive space on the web by logging in to your Sign-On Portal, located at https://signon.stjohns.edu

  1. Locate the Office 365 Portal tile.




  2. Once open, click on the OneDrive icon located in the toolbar on the left side of the screen.





  3. Hover your mouse over the file or folder you would like to share, and click the Arrow icon.
     


    This screen will pop up:




  4. Click the options menu that says "People you specify can edit" to modify your sharing method, this screen will appear:


     


    • Select how you would like to share the file:
        • "Anyone with the link": THIS OPTION IS NOT CURRENTLY AVAILABLE ON THE ST. JOHN'S ONEDRIVE.
        • "People in St. John's University with the link": the link will not work for a NON-St. John's University email address. But, anyone with an SJU email address will be able to access a link with this level of access.
        • "People with existing access": same as "People in St. John's University with the link", except the link will only work for users who already have access to this folder via a higher-level folder.
        • "Specific People": only the users who you select. This can be a non-St. John's email that is currently saved in your address book, or they must have a St. John's email address. **PLEASE NOTE THAT THIS IS THE ONLY OPTION TO SHARE WITH SOMEONE THAT DOES NOT HAVE AN SJU EMAIL ADDRESS.
        • "Allow editing": check the box if you want those with access to be able to make changes to the file. Unchecking the box will make it “view only”.
    • Once you choose your sharing option, click "Apply", then enter the user’s email addresses, and click "Send".



Sharing a file or folder via OneDrive app for Windows


  1. Open a file explorer window and navigate to your OneDrive folder.

     


  2. Right-click on the desired file or folder you wish to share. Select "Share" from the menu options.

     

  3. The "Share" dialog box will appear to allow you to choose the recipient.  The Dialog box looks exactly the same as the version from the OneDrive website.

Sharing a file or folder via OneDrive app for MacOSX


  1. Control-Click on the file or folder you wish to share, and select "Share" from the menu options.



     
  2. The "Share" dialog box will appear. The Dialog box looks exactly the same as the version from the OneDrive website.
