This is a quick start document about using Microsoft’s Teams Meeting to record class sessions. This document will cover the steps to set up Teams Meetings with Canvas, using Teams Meetings during your Canvas class and sharing the recording with your students.

Setting up Teams Meetings in Canvas (One Time per Canvas Course)

  1. To begin, you must enable the Microsoft sync in your Canvas course settings. Select your Canvas course, go to Settings, and open the Integrations tab. Toggle on Microsoft Sync, click Sync Now, and wait a few minutes for completion. For our documentation on enabling the Microsoft sync to your Canvas course, click here.

  2. Next, add Microsoft Teams meetings to the course navigation menu. Open your Canvas course, go to Settings and select the Navigation tab. Drag and drop "Microsoft Teams meetings" from the bottom to the top "enabled" section, then click Save. To view instructions on how to add Teams meeting to your course navigation, click here.

Please note that you will be asked to sign into your Microsoft account using your SJU credentials.

Scheduling a Teams Meeting and Inviting Students

You are now ready to use Teams and want to schedule a Teams meeting with your class. In your Canvas course, select Microsoft Teams meetings from the Course Navigation. Click + New Meeting in the top right corner. Add meeting details like Title, Attendees, Date/Time, and repeat options. In addition, you can adjust meeting options to auto record class sessions. Using Teams During Your Canvas Class

If you have scheduled reoccurring Teams meetings in Canvas, Open your Canvas course and select Microsoft Teams Meetings from the Canvas course navigation. Next, locate you meeting and click on Join to attend your meeting. Once you have concluded your meeting, click on the Leave drop-down arrow and select End meeting. Access and Embed Recordings in Canvas

To share and embed a Teams recording in Canvas, record your meeting and access the recording in Microsoft Stream. Get the embed code from Stream, then paste it into the HTML editor of a Canvas page, assignment, announcement or discussion board. Save and publish the page to make the recording accessible to students. For detailed information on how to share your recording click here. Using Breakout Rooms in Canvas

Breakout Rooms enable meeting organizers to divide participants into smaller groups for focused discussions or activities. Organizers can move between rooms and manage participants. To create breakout rooms in Microsoft Teams, start your meeting and click the breakout rooms icon in the toolbar. Choose the number of rooms, then assign participants manually or automatically. Viewing Attendance in Teams Meetings

To view or to download a list of participants from a Teams meeting, locate your desired meeting in Teams calendar. Locate and select Attendance towards the top of the meeting window. Teams will populate attendees within the meeting window. If you would like to download a complete list, select Download for an Excel spreadsheet. Creating Office Hours Using Teams Meetings in Canvas

To set up office hours in Microsoft Teams, open the Calendar tab and click + New Meeting. Enter the meeting details, including title, date, time, and ensure the Online meeting option is on. Set the recurrence to match your office hours schedule, and enable the Lobby feature to manage student entry. Save the meeting, and share the link with your students via your syllabus or a Canvas announcement. For a detailed article on how to create office hours, click here.

Recording a Lecture Using Teams in Canvas

The Meet now feature in Teams allows educators to record and edit lectures. Access your Teams Calendar and select Meet now. Simply begin your meeting and start recording.
